Microsoft 365 Business plans are designed for organizations that need email, file storage, team collaboration, and desktop apps for employees. While home users activate personal subscriptions at microsoft365.com/setup, business plans are managed differently. An administrator configures the organization through the Microsoft 365 admin center, and employees sign in with a work account to access apps and services. This guide explains how business setup works, what admins do at admin.microsoft.com, and how users install Microsoft 365 apps on their devices with a work account.

How business setup differs from personal setup

When you purchase a Microsoft 365 Business subscription, you do not redeem a retail product key at microsoft365.com/setup. Instead, your organization receives a license assignment through the Microsoft 365 admin center. The admin adds users, assigns licenses, and configures security and sharing policies. Employees then sign into apps and services with their work email and password. The key difference is the account type:

Admin setup in the Microsoft 365 admin center

After your organization purchases a Microsoft 365 Business plan, the person designated as the admin completes initial configuration.
1

Sign in to the admin center

Go to admin.microsoft.com and sign in with the work account that was assigned admin rights during purchase.
2

Add users and assign licenses

Navigate to Users > Active users and click Add a user. Fill in the employee details and assign a Microsoft 365 Business license. The new user will receive login credentials by email.
3

Set up domains and email

If your organization uses a custom domain (such as yourcompany.com), go to Settings > Domains and follow the steps to verify and configure it. This allows employees to use branded email addresses.
4

Configure security and sharing

Review default security policies under Security & privacy. Admins can enable multi-factor authentication, set data loss prevention rules, and control external sharing for OneDrive and SharePoint.
5

Share install instructions with users

Once licenses are assigned, employees can install apps. The admin can send direct links or publish instructions in the company knowledge base.
Microsoft provides a guided setup experience inside the admin center for new Business subscribers. Look for the Setup section on the admin center home page to complete core configuration step by step.

Employee app installation with a work account

After the admin assigns a license, employees can install Word, Excel, PowerPoint, Outlook, Teams, and other Microsoft 365 apps on their computers and mobile devices.

On Windows or Mac

1

Go to microsoft365.com

Open a browser and visit microsoft365.com.
2

Sign in with your work account

Click Sign in and enter your work email address (for example, name@yourcompany.com) and password. This is the account your admin created, not a personal Microsoft account.
3

Install apps

Click Install apps in the top-right corner and select Microsoft 365 apps to download the installer.
4

Run the installer and sign in again

Open the downloaded file and follow the prompts. When you first launch an app, sign in with your work account to activate the license.

On mobile devices

Employees can install Microsoft 365 apps from the App Store or Google Play Store. After installation, open any app and tap Sign in. Enter your work email and password. If your organization uses mobile device management, you may be prompted to enroll your device or install a companion app.
Always sign in with your work or school account, not a personal Microsoft account. Using the wrong account will show an unlicensed or limited experience because the subscription is tied to your organization.

Managing users and licenses

Admins can add, remove, or reassign licenses at any time through the admin center:
  • Go to Users > Active users to view all employees.
  • Select a user to change their license, reset their password, or remove their access.
  • Go to Billing > Licenses to see how many licenses are available and purchased.
If an employee leaves the organization, removing their license or deleting their account revokes access to Microsoft 365 apps and stored data. Admins should follow their organization’s offboarding policy before removing users.

Security best practices for business setup

Protecting organizational data is a shared responsibility between admins and employees. Consider these practices after completing setup:
  • Enable multi-factor authentication for all users in the admin center.
  • Require strong passwords and regular password updates.
  • Use conditional access policies to restrict sign-ins from unexpected locations or devices.
  • Train employees to recognize phishing attempts that impersonate Microsoft sign-in pages.
  • Keep apps updated on all devices to receive security patches.
